PlayMetrics Onboarding Guide

PlayMetrics is excited to work alongside Connecticut Junior Soccer Association for facilitating youth soccer in the state of Connecticut. This resource was designed to help you get started with confidence, offering clear steps, helpful tips, and key milestones to set you up for success for the current season.

Key Milestones for Transition to PlayMetrics

Configuring Your Club as a Club Admin

Your organization added one primary contact as a Club Admin the PlayMetrics governing system. This user can add additional admins to manage and configure their club.

Clubs using PlayMetrics for their club operations should connect their club system to the governing system. This will allow you to easily pull over and update teams, players, and staff from your club instance using an import wizard.

Data Migration

CJSA and PlayMetrics will work together to export the verification requirements from the previous system, including player photos.

When players and staff are added to the governing system, PlayMetrics will mark any previously satisfied verifications as complete provided that the member information matches that of the previous system.

Season Opens for Membership

Once the new season is open for membership, your club can add players, teams, and staff to the governing system. You can also complete your annual club affiliation.

Club Affiliation Registration

You can complete your annual club affiliation by navigating to Programs in your left-hand menu. CJSA requires that you assign specific staff to club contact responsibilities during registration – President, Treasurer, Registrar, Club Representative.

To assign a person to a club contact responsibility during club affiliation, they will first need to be added to as a staff member for the season.

  • Clubs using PlayMetrics club system: Adding Staff as a Club Admin (PlayMetrics Club System User)
  • Clubs not using PlayMetrics club system: Adding Staff via Import

Including State Waivers in Club System Registrations

If your club is using the PlayMetrics club system, you are able to incorporate state-defined waivers and questions in your player registrations. For league and team invite programs in the club system, you will have an option to include state questions when building out your program.

Note: You will first need to connect your club system to the CJSA state system before this option will be available.

Adding Players and Staff 

If your club uses PlayMetrics for club operations, you will be able to select the players and staff from your club system to send to the governing system. If your club does not use PlayMetrics for its club operations, you will import your players and staff via a CSV file.

PlayMetrics Clubs:

  • Adding Players as a Club Admin (PlayMetrics Club System User)
  • Adding Staff as a Club Admin (PlayMetrics Club System User)

Non-PlayMetrics Clubs:

  • Adding Players via Import
  • Adding Staff via Import

Note: Templates for the CSV imports can be found as attachments at the bottom of this article.

Risk Management Submission for Staff

After the club admin imports the necessary staff members for the season, the staff member will receive an email notifying them that they’ve been added as a member for the club.

Staff members will log into PlayMetrics and complete the submission process for their risk management requirements. If needed, they will complete a background screening and provide proof of completion for any other requirements.

Verifying Members

After you import players and staff for the season, you’ll need to verify the members. Only verified players and staff will show up on official rosters and game cards.

Adding Teams

If your club is a PlayMetrics Club System user, you will be able to select the teams from your club system to sync over to the governing system. If your club does not use PlayMetrics for its club operations, you will import your teams via a CSV file. Team names do not need to include the club name or abbreviation as these variables will be added separately in the governing system.

Note: You should only add teams to the governing system that are participating with the state.

  • Adding Teams through CSV Import or Manually (Non-PlayMetrics Club System)
Important: PlayMetrics CS users will want to ensure they add their teams via the Connected System approach to ensure that the teams in the governing system are synced to the club system. League game schedules and changes will be automatically published to team and club calendars when the teams are synced.

Registering Teams for Competitions

After adding your teams to the governing system, you’re able to register them for district-facilitated leagues and tournaments (once registration periods are open).

18+ Youth Players – SafeSport

If a player will be 18 or older during the seasonal year, they will be required to provide proof of completion of SafeSport. The club is responsible for adding an email address for each player that will need to complete this requirement. Once the club adds an email address, the player will receive an email with a link to submit proof of SafeSport completion.

Roster Management and Player/Game Cards

Once players and staff are added into the governing system, you can start managing team rosters- primary players, club pass players, and team staff. 

Note: If you are a PlayMetrics Club System user and you have set up the connected systems team sync, all roster management can be done within your club instance and those roster updates will automatically flow over to the governing system. For non-PlayMetrics Club System users, you will follow the steps in the Manage Team Rosters article linked below.

Field Management

You are able to manage facilities and fields to be used for competition games scheduled through the PlayMetrics governing system. This will be handled on a district by district basis. If you district allows the club to add their fields, you can follow the guidance below.

Travel Rosters

You have the ability to submit a travel roster to your state for a sanctioned competition.
